How We Work With Corporate Clients

MRG Evennts premium corporate event production setup at a Mumbai venue

By Shalinie Gill, Co-founder  •  MRG Evennts

From first call to event day, most MRG events are planned and delivered in one to three weeks. For corporate clients with real deadlines — Q-end recognition events, sudden leadership offsites, replacement vendor situations, marketing launches that cannot slip — speed without compromise is the work we do best.

Across 15 years and 2,000+ events, MRG has built an operating model designed for fast turnaround on premium B2B events. Below — exactly what working with us looks like.

The 48-Hour Response Window

When a corporate brief reaches MRG — through our enquiry form, WhatsApp, or a direct email to Shalinie or Charrandip — a proposal lands in your inbox within 48 hours.

This is not a templated quote. Within those 48 hours, our team reviews the brief, identifies the right venues based on date availability and capacity, scopes the production approach, and prepares a costed proposal with timeline, deliverables, and execution plan.

If the event scope is unclear from the brief, we ask for a 20-minute call instead of guessing — usually scheduled within 24 hours.

What we ask for in the brief:

  • Approximate guest count and audience profile
  • Date or date range
  • Event type (annual day, conference, dealer meet, launch, party)
  • Budget range, even approximate
  • Anything else the event needs to achieve

That is enough for a meaningful first proposal. Detailed creative work happens after you confirm the brief direction.

Small Events (50-100 Attendees) — Delivered in 1 Week

For corporate gatherings of 50-100 people, MRG delivers complete event production in a single working week. This is genuinely uncommon in premium B2B Mumbai — most agencies need 4-6 weeks for events of any scale. We do not.

The 1-week timeline works because:

  • 15 years of relationships with Mumbai’s premium venues means most properties hold a date for us on a phone call
  • Our in-house production resources (stage, AV, LED, lighting) eliminate vendor scheduling friction
  • A 95% repeat client rate means our team operates from learned context, not first-time-discovery overhead
  • Shalinie or Charrandip is involved directly in every event, not a junior account manager

Small-event clients typically include:

  • Leadership team offsites and strategic alignment sessions
  • Department recognition events and team milestones
  • Compact dealer or partner meets
  • Senior leadership farewells, inductions, milestone celebrations
  • Quarterly business reviews with select customers

A recent example: a R&R event for a Mumbai-based financial services firm went from first call to event day in 9 days, with 100 attendees at a premium Juhu venue.

Larger Events (150-2,000+ Attendees) — Delivered in 2-3 Weeks

For larger format events — annual days, conferences, dealer meets, awards nights, product launches — MRG typically delivers in two to three weeks from first call.

A 2-3 week timeline for an event with 500-2,000 attendees, custom production, multiple stages, recognition segments, and end-to-end venue coordination is faster than most Mumbai competitors require for events half the size. We can do this because of how the operating model is structured.

What gets prioritised in the first week:

  • Venue confirmation (we visit and lock in days 1-3)
  • Production design and approval (concept locks by day 5)
  • Vendor onboarding (lighting, F&B, decor, technical)
  • Licensing and permissions (Police NOC, BMC, fire, PPL/IPRS)

What happens in the second week:

  • Production fabrication (stage build, custom decor, AV setup)
  • Content development (presentations, AV reels, recognition deck)
  • Run-of-show alignment with client team
  • Vendor coordination and on-ground rehearsals

What happens in the final stretch (week three or final days):

  • Site setup and load-in
  • Full technical rehearsal
  • Final walk-through with client team
  • Event day execution
  • Wrap-up and post-event content delivery

Across our published case studies — Tres Vista at JW Marriott Juhu, FDC Limited at The Leela, Maersk India at Taj The Trees, Sarjak Containers at The Club — most followed this 2-3 week operating rhythm.

What MRG Handles vs What You Decide

For corporate teams hiring MRG, clarity about what we absorb versus what stays with you matters from day one. Here is how the responsibility split works in practice.

MRG handles (we absorb)

  • Venue research, site visits, negotiations, and bookings
  • Complete production design — stage, AV, LED, lighting, decor
  • Vendor sourcing, onboarding, contracts, and on-site management
  • All licensing and statutory permissions
  • Content development for AV reels, presentations, recognition decks
  • Catering and F&B coordination with venue or external partners
  • Run-of-show writing and event day choreography
  • On-ground execution with our team
  • Post-event content delivery within 48 hours
  • Wrap-up and vendor settlements

You decide (we recommend)

  • Event objectives and intended audience outcomes
  • Budget range and approval timing
  • Speakers, chief guests, and internal recognition recipients
  • Brand and creative direction approval
  • Key messaging and tonality
  • Final guest list and invitation list
  • Senior leadership availability for rehearsals and event day

Our principle: HR, Marketing, Admin, and Leadership teams should be making the business decisions for the event. The operational complexity — vendors, logistics, production craft — is our job.

Event Day

On the day of the event, two things define a well-executed corporate event: the visible production should feel effortless, and the client team should not be solving problems.

At MRG, both responsibilities sit with our on-ground team — never with the client.

What happens through event day:

The MRG team arrives at the venue four to six hours before doors open. By the time the client team arrives, the technical setup is in place, the registration zone is functional, the catering is briefed, and the run-of-show is locked.

During the event, Shalinie or Charrandip is present on-site for events above a certain scale. For smaller events, our senior production lead runs point with direct phone access to both founders throughout.

The client team handles:

  • Welcoming key guests and stakeholders
  • On-stage interactions and key announcements
  • Senior leadership engagement
  • The moments that need their direct presence

MRG handles:

  • Run-of-show and segment timing
  • Technical production and stage management
  • Vendor coordination throughout the event
  • Crowd flow, F&B coordination, energy levels
  • Any operational issue that arises — quietly, without escalation

After the Event

Event execution is not where the partnership ends.

Within 48 hours of the event:

  • A curated set of event photographs is delivered to the client team
  • Initial video edit (highlight reel or key segments) is shared
  • Final settlement statement is prepared

In the week that follows:

  • Full event content (high-resolution photos, edited videos) is delivered via shared drive
  • Post-event reconciliation and final invoicing is completed
  • A brief debrief is offered if useful for the client team

The 95% repeat client rate at MRG is not built only on event-day execution. It is built on the closing details — content delivered when promised, settlements done cleanly, the partnership ready to resume for the next event whenever the client needs it.
