   • For each shortlisted venue we check event date availability, minimum spends, exclusive vs shared space, and any date/time restrictions.

   • We verify technical feasibility (ceiling height, load-bearing, power points, backstage access), staging limits, and local permissions required.

4. Detailed proposals with side-by-side comparison

   • We present a comparison sheet showing hall dimensions, seating layouts (theatre, classroom, banquet), max & comfortable capacities, cost estimates (room hire, food per plate, taxes, service charges), and pros/cons for your event format.

   • We arrange and attend physical site visits with your team (or virtual walkthroughs if needed), inspect lift access, loading docks, green rooms, networking points and sightlines.

6. Negotiation & contracting

7. Vendor & logistics alignment

   • We coordinate with in-house and external AV, production, decor and catering vendors to confirm compatibility and logistics (load-in/out windows, staging dimensions, rigging points, HVAC impacts).

   • If a venue requires approved vendor lists, we manage approvals and on-site coordination.

8. Permits, insurance & compliance

   • We advise on any municipal/permitting requirements (sound/noise, gatherings, security), and ensure venue permits are in place.

   • We recommend event insurance options, and confirm the venue’s emergency plans and medical/security arrangements.

9. Event day liaison & QC

   • On the event day MRG Evennts acts as your single point of contact with the venue — overseeing set up, F&B service timing, AV run-throughs, VIP handling and contingency fixes.

   • We run a final quality check against the agreed scope and timeline.

10. Post-event wrap & feedback

    • After the event we hold a debrief with the venue (if required) to close accounts, confirm final bills and capture learnings for future events.
